Terms of Service

These Terms of Service ("Terms") govern access to and use of Skoolix ("Skoolix", "we", "us", "our"), the school management platform operated at skoolix.org and related school subdomains. By creating an account, inviting users, or using the Service, you agree to these Terms.
1. Who these Terms cover
The primary agreement is between Skoolix and the school or organisation that registers for an account (the "School"). Staff, teachers, students, and parents/guardians who are onboarded by the School ("End Users") also use the Service under the School's account and must follow these Terms and any school policies. The School is responsible for its End Users' use of the Service.
2. Account responsibilities
- School admins and owners must keep login credentials secure and limit admin access to authorised people.
- The School is responsible for the accuracy and lawfulness of data it enters — including student records, fees, attendance, and payroll figures used for salary, SSNIT, and PAYE calculations.
- The School manages staff, parent, and student access within its organisation (roles, invites, removals) and must promptly revoke access when someone leaves.
- End Users must use the Service only for legitimate school-related purposes and must not share passwords or attempt to access another school's data.
3. The Service
Depending on the School's subscription plan, Skoolix may include:
- School administration tools such as classes, students, attendance, academic records/grades, fee structures, invoices, and related reporting
- Staff management and payroll processing, including salary calculations and statutory deduction support for SSNIT and PAYE as configured by the School
- Notifications to staff, parents/guardians, and other contacts via SMS and WhatsApp, using a credit-based messaging wallet the School purchases
- Subscription plans (Standard, Pro, and Premium) with features that scale by plan and student band, and optional online fee collection where enabled
Feature availability depends on the School's active plan. We may update the Service to improve security, compliance, or functionality.
4. Payments, plans, and credits
- Subscriptions. Schools subscribe to Standard, Pro, or Premium (or a custom arrangement for larger schools). Fees are based on the selected plan and student band and may be billed monthly or termly as offered at checkout.
- Messaging credits.SMS and WhatsApp notifications consume credits from the School's balance. Credits may be included with a plan and/or purchased as top-ups. Unused purchased credits generally remain available while the School account remains active; credits are deducted when messages are sent.
- Refunds (default policy — confirm before launch). Unless required by law or expressly agreed in writing, subscription fees and messaging credits are non-refundable once payment is successfully completed. Credits already consumed for sent messages are not refundable. Failed delivery caused solely by Skoolix may be addressed by restoring equivalent credits at our discretion.
- Paystack. Payments for subscriptions and credit purchases are processed by Paystack. Card and payment-method data is handled by Paystack under its terms; Skoolix does not store full card numbers.
5. Acceptable use
You must not:
- Send unsolicited, spam, abusive, fraudulent, or unlawful content through SMS or WhatsApp notification features
- Use contact numbers obtained through Skoolix for marketing unrelated to the School's legitimate communications without a lawful basis
- Misuse payroll, bank, SSNIT, PAYE, or other sensitive staff data, or access it without authorisation
- Attempt to probe, disrupt, or reverse engineer the Service, or bypass plan or credit limits
- Upload malware or content that infringes others' rights or violates Ghanaian law
We may suspend or terminate access if we reasonably believe these Terms have been violated.
6. Data accuracy and payroll
Skoolix provides tools to help Schools manage records and compute payroll and statutory deductions based on information the School supplies. The School remains solely responsible for verifying salaries, allowances, SSNIT and PAYE figures, bank details, and filings with the relevant Ghanaian authorities. Skoolix is not a payroll agent, tax adviser, or substitute for professional accounting advice.
7. Availability and third parties
We aim to keep Skoolix available and reliable, but we do not guarantee uninterrupted or error-free service. Delivery of SMS and WhatsApp messages depends on third-party providers (including SMS gateways and Meta's WhatsApp Business Platform), mobile networks, and recipient device status — factors outside Skoolix's direct control. Planned maintenance or emergency outages may occur.
8. Termination and school data
- The School may stop using the Service by cancelling its subscription or requesting account closure.
- We may suspend or terminate access for non-payment, material breach of these Terms, or legal/compliance reasons.
- After termination or cancellation, the School may request an export of its data within a reasonable period while the account remains recoverable. We may delete or anonymise School data thereafter, except where retention is required by law (for example payroll/tax records) or needed to resolve disputes, prevent fraud, or enforce these Terms.
- Unused messaging credits typically expire or are forfeited on account closure unless we agree otherwise in writing (confirm before launch).
Individuals may request deletion of personal data as described in our Data Deletion Instructions.
9. Limitation of liability
To the fullest extent permitted by Ghanaian law, Skoolix and its suppliers are not liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenue, data, or goodwill, arising from use of the Service. Our total aggregate liability arising out of or relating to these Terms or the Service in any twelve-month period is limited to the fees the School actually paid to Skoolix for the Service in that period. Nothing in these Terms excludes liability that cannot be excluded under applicable law.
10. Privacy
How we collect and use personal data is described in our Privacy Policy.
11. Governing law
These Terms are governed by the laws of the Republic of Ghana. Courts in Ghana have exclusive jurisdiction over disputes arising from these Terms, without prejudice to any mandatory consumer protections that may apply.
